What is it?
Our Auto Receipt Validation feature is a powerful tool that can be enabled on the Receipt Uploader. By incorporating this feature, users have the ability to upload their proof of purchase in order to participate in your competition. The proof of purchase is then automatically evaluated against customised validation rules, including criteria such as the merchant name, address, location, date and time range, and amount.
Entries that cannot be automatically validated are redirected to a manual review section, where you can personally inspect the receipts and make a decision based on your validation rules. This ensures that all entries are thoroughly examined and either approved or rejected.

How do I use it?
- Step 1: Add the Receipt Uploader to your Hub
- Step 2: Manage your Validation Rules
- Step 3: Enable Auto Receipt Validation
- Step 4: Test the AI Reader
- Step 6: Export the Entry and Receipt data
Step 1: Add the Receipt Uploader to your Hub
- Navigate to your Engagement Hub.
- Once there click the Plus icon, from here select Games and then Scratch and Win.
- You will then see your new card has been added to your Hub.

Step 2: Manage your Validation Rules
- Clicking on the Receipt Uploader will open the editing module.
- (1) Click on Data capture.
- (2) Navigate to the Form section.
- (3) On the right sidebar, click on the edit icon to set up your rules.
- (4) Select edit rules to manage your parameters.
- (A) When creating a rule, you first need to configure the 'where' filter. The options for these are as follows:
- Date and time: Validate receipts before, after, between or on/at certain dates and times.
- Line item count: Validate receipts with a certain number of line items, or more or less than a certain number of line items.
- Merchant location: Validate receipts with a particular merchant location listed.
- Merchant name: Validate receipts with a particular merchant name listed.
- Total amount: Validate receipts of a particular amount, or more or less than a particular amount.
- (B) Once you've configured your 'where' filter, you need to configure your 'where' operator. The operator governs what part of the filter the validator will use to validate the receipt.
- (C) As you create new rules, you have the option to change whether the rules combine (and) or whether they are a separate criteria (or).
For example, a combined rule might be 'where the merchant name is x and the total spend amount is also y'. A separate criteria rule might be 'where the merchant name is x or the total spend amount is y'.
Step 3: Enable Auto Receipt Validation
- (1) Here you will review your customised rules.
- (2) Here you can enable automatic validation of your receipts.
Note: If you leave this off, you will need to manually approve and reject every receipt uploaded.
Step 4: Test the AI Reader
- (1) Click on test AI reader to see how the technology scans your receipts.
- Note: To test the reader, you need to have enabled the feature in Step 3.
- (A) Here you can upload a receipt file to preview the AI reader.

- (a) View all the information the AI was able to extract here.
- (b) Hovering over the receipt, you can zoom in to view the details.
Step 5: Manage your Incoming Receipts
- To manage your receipt uploaders, navigate to the Data Capture tab of your Card editing modal.
- (1) Click on Receipts on the page.
- (2) The Manual Review tab will show the receipt uploads that require your manual review to approve or reject.
- (3) The Verified tab will show both the receipts that have been automatically approved, as well as those you have manually approved.
- (4) The Rejected tab will show both the receipts that have been automatically rejected, as well as those you have manually rejected.
- (5) Here you can make changes to your validation rules.
- (6) By clicking here, you can review an uploaded receipt.
- (A) When manually reviewing a receipt, you can examine the validation rules you configured here to match against the upload.
A tick icon is visible if the receipt matches the rule.
A warning icon is visible if the receipt doesn't match the rule. - (B) Here you can enter the Merchant name.
- (C) Here you can enter the Merchant address.
- (D) Here you can enter the Receipt date.
- (E) Here you can enter the Total amount of the receipt.
- (F) Here you can enter the line item count and line items of the receipt.
- (G) Here you can reject the uploaded receipt.

- (a) When rejecting a receipt, you are required to input a reason. This is so other admin users can see why a specific receipt was rejected.
- (H) Here is where you'll approve the receipt.
Note: To be able toa approve a receipt, you need to have all tick icons next to the rules. If not, this means the receipt doesn't isn't within the parameters and should not be approved.
Step 6: Export the Entry and Receipt data
- (1) Click on the export entries tab to download a CSV file of all data collected from the activation, (2) including everything displayed on the table (contact details, status of entry, date/time of entry and receipt information - merchant name, address, date/time, total spend amount etc.)
How can I promote it?
Top Tips
- Understand the layout of receipts and the merchant/trading name displayed by having on hand multiple receipts from various retailers as this will assist with creating your validation rules.
- Upload different variations of the same merchant name and avoid being too specific as this will cause receipts to fall under manual review.
For example, for The Coffee Club, you can upload both The Coffee Club and Coffee Club in case the 'The' gets missed. Upload Coles Supermarkets Australia Pty Ltd and Coles. - Ensure the validation date and time rule are set to your timezone.
- Create rejected receipt communications to give users another opportunity to make a purchase and enter the competition to be eligible for prizing.
FAQ
Can I have a different group of rules on one card?
Yes, you can have multiple groups of rules on one competition card. You have the option to have a set of rules for specialty retailers and major retailers.
To do this, create a group on the validation rules instead of adding a single rule.
- (1) Click on Add rule group first.
- (A) Within that group, click on Add rule to add more rules to this group.
- (B) Here you can add another group to the validation rules.
There is a duplicate warning message when reviewing a receipt, what do I do?
This means that a user has already uploaded a similar receipt. The AI is able to identify duplicates if the information is the same i.e. merchant name, receipt date/time and total amount.
- (1) Here you can view the duplicated receipt/entry to compare the potential duplicate and whether to approve or reject the receipt.
- The two files will be displayed side by side for easy comparison. You will be able to see the details of the previous entry at the top of the receipt.
How can I communicate to rejected entries that their receipt isn't valid?
To send communications to all rejected receipts, you can set this up using our workflows. Select the trigger as receipt rejected meaning the comms will only be sent to those who had an invalid receipt.
We highly recommend creating generic comms as this will be sent automatically to all rejected receipts. Here you should inform the user of the parameters i.e. spend $100 at the following retailers or $20 at the following retailers to be eligible for prizing.
I accidentally rejected/approved a receipt, can I change it?
Yes, you can revisit the entry/receipt and click approve/reject to revert the action. We recommend being careful with the validation processes, especially if there are any instant win prizes awarded to avoid accidental awards.
How long does the AI take to scan receipts?
The AI is generally very quick with the validation process. It can take from a few seconds to a couple of minutes. This will be dependent on how the photo of the receipt is taken and if the information is easy to extract by the AI.
Why are so many receipts going to manual review?
If you notice a lot of your receipts going to manual review, double-check your rules and ensure you have set these up correctly.
Always check the merchant name/retailer list uploaded as if you are too specific with the names, the AI can only approve receipts that match exactly what is entered on the rules. For example, we recommend entering Coles instead of Coles Supermarkets Australia Pty Ltd. You could also have both listed on your rules to cover all your bases!

Receipts fall under manual review if they do not meet the criteria. The AI will not automatically reject receipts if they do not meet the parameters, only if there is a duplicate identified (same file uploaded).
